Desktop Sharing and Dial in Conference in Skype

Present your desktop and specific programs

Keep in mind that you need to be a presenter in a Skype for Business meeting to share your screen. If the option is grayed out, ask one of the presenters to give you presenter access.

  •          Present Desktop when you need to switch between multiple programs, or work on files from different programs.
  •          Present Programs when you need to present specific programs or files and don’t want people to see anything else on your computer.

Share your screen or program

Important: When sharing your desktop, everyone in the Skype meeting can see your programs, files, and notifications. If you have confidential information or files that you don’t want people to see, close them—or use Present Programs instead.

1.       At the bottom of the conversation window, click the Present (monitor) button.

2.       Choose one of the following:

  •          To share the content on your desktop, click Present Desktop.
  •          To share one or more programs or files, click Present Programs, and then select the specific program or file.

Set up an ad-hoc conference call by inviting additional users to join an ongoing call

If you are already in a phone call, you can add other users from the Global Address List, from your Contact List, or by entering a person’s phone number.

To open the conversation window on your desktop, hover over the Lync icon in the taskbar and click the name of the person you are already speaking to. 

When the conversation window open, click the Invite More People icon to add one or more participants to the call. 

Enter a phone number. Or enter a name to search your contact list and the Global address list.

Hover over the name of the person you want to add. Click the arrow beside the phone icon and click the number you want to dial.

The third person will be added to the conversation.

Schedule a conference call or online meeting

Open Outlook.

Click New Items > Online Meeting.

Or in an existing meeting select Online Meeting from the ribbon.

The window below will open.

Enter the names of the people you want to invite to the phone conference in the To: text box.

Enter a subject for the conference.

Select a time for the conference.

Do not change details between the dotted lines.

Enter details about the meeting above the dotted lines and your signature below the conference information.

Click Send. 

How to join a scheduled conference call

Open the Outlook conference invitation.

If you have Skype installed on your computer, click Join Skype Meeting.

If you are not using a computer or if you do not have Skype installed, dial one of the phone numbers and you will be prompted to enter the Conference ID.

1.       Enter a PIN and work number or extension only if:

a.       You’re the meeting leader (organizer) and calling from a phone that isn’t connected to your account, such as a cell phone.

b.       You’re an attendee of a secured meeting that admits only authenticated callers.

Note: If you don’t remember your PIN, in the meeting request, click Forgot your Dial-in PIN, and follow the instructions about resetting your PIN.

2.       Depending on the Skype for Business meeting settings, you might have to wait to be admitted, or you might get connected automatically.

3.       (Optional) When in the meeting, press *1 on your phone to get a list of the options you can use, such as mute, unmute, and so on.
